Add to Calendar Link for Email Signatures and Event Pages

An “Add to Calendar” link drops an event into someone’s calendar with one click — no copying, no manual entry. There’s a different URL format for Google Calendar, Outlook, and Apple. The trick is using a single universal link that handles all three.

Quick answer: the universal approach

Make one link per calendar service and let users pick their app. Or use a generator that produces a single redirect that detects the user’s platform. Either way, you’ll need:

 • Event title
 • Start and end time (with timezone)
 • Location (optional)
 • Description (optional)

Google Calendar link

https://calendar.google.com/calendar/render?action=TEMPLATE&text=Event%20Name&dates=20260601T140000Z/20260601T150000Z&details=Event%20description&location=Pamplona

Times are in YYYYMMDDTHHMMSSZ format with the Z at the end meaning UTC. If you want a local timezone, use ctz=Europe/Madrid as a parameter.

Outlook / Microsoft 365 link

https://outlook.live.com/calendar/0/deeplink/compose?subject=Event%20Name&startdt=2026-06-01T14:00:00Z&enddt=2026-06-01T15:00:00Z&body=Description&location=Pamplona

For Outlook 365 (work accounts), swap outlook.live.com for outlook.office.com.

Apple Calendar (.ics file)

Apple doesn’t have a URL endpoint for this. You serve a downloadable .ics file:

BEGIN:VCALENDAR
VERSION:2.0
BEGIN:VEVENT
SUMMARY:Event Name
DTSTART:20260601T140000Z
DTEND:20260601T150000Z
LOCATION:Pamplona
DESCRIPTION:Event description
END:VEVENT
END:VCALENDAR

Save as event.ics, host it, link to it. Apple Calendar (Mac and iOS) will recognize and import it. So will Outlook, and Google Calendar can import it too.

For email signatures

Don’t try to be clever — three short links in your signature work fine:

📅 Add to: Google | Outlook | Apple

Or use a single universal “Add to Calendar” link that goes to a landing page with all three options. The add to calendar link generator builds all formats at once.

For event landing pages

Buttons over text. Pattern your event page like this:

 • Event title and date headline at the top
 • Three calendar buttons (Google, Outlook, Apple)
 • Plus an .ics download for everything else
 • Description and venue below

Conversion data on event pages consistently shows that adding multiple calendar buttons increases attendance over a single “RSVP” button.

Timezones — the silent killer

Always include the timezone in your event time. Two safe options:

 1. Use UTC and let the calendar convert. Add Z to the time string (20260601T140000Z).
 2. Use a named timezone. Pass ctz=Europe/Madrid for Google or set TZID in the .ics file.

If you skip both, calendars guess based on the user’s local time, and your 2pm event ends up scheduled at 8am for someone in Tokyo.

Recurring events

For recurring events, .ics files use RRULE:

RRULE:FREQ=WEEKLY;BYDAY=MO;COUNT=10

That’s “every Monday, 10 occurrences.” Google Calendar’s URL builder doesn’t support recurring events directly — you have to import via .ics for that.

Common mistakes

 • Forgetting the timezone. See above. Worst offender.
 • Using one calendar service only. Google has ~70% market share, but the other 30% is your customer base too.
 • Long descriptions. Some calendars truncate at 1024 characters. Keep it short, link to a landing page for details.
 • Special characters in the title. Encode them. & in a title without encoding will break the URL.

FAQ

Can I add a Zoom or meeting link?

Yes — put it in the description or location field. Most calendar apps make URLs in those fields clickable.

Do these links work on mobile?

Yes. Google’s link opens the Google Calendar app on Android and Safari/Calendar on iOS. .ics files open the native Calendar app on both.

Can I use this for webinar reminders?

Yes — and you should. Adding a calendar invite reduces no-show rates dramatically compared to a basic email confirmation.

Do recurring events work in Google Calendar URL format?

No. Use an .ics file with an RRULE for recurring events. The URL format is one-shot only.

Build all three at once

The add to calendar link generator takes your event details and outputs Google, Outlook, and .ics formats simultaneously. Drop them into your signature, your event page, or a prefilled email link for invites.
